1. Scope of This Policy

This Privacy Policy applies to all users of the OrgsLedger platform, website (orgsledger.com), mobile applications, and related services.

This policy covers two categories: Account Holders/Admins who register for and manage an OrgsLedger account, and Members/End Users whose information is processed through an Organization’s account. For Organizations processing personal data of members, our Data Processing Agreement (DPA) supplements this Privacy Policy.

5.2 Organization Administrators

If you are a member of an organization using OrgsLedger, your profile information and activity within that organization’s workspace may be visible to Organization Administrators as permitted by the Service features.

5.3 Legal Requirements

We may disclose your information if required to do so by law, court order, or government request, or if we believe disclosure is necessary to protect the rights, property, or safety of OrgsLedger, our users, or the public.

5.4 Business Transfers

In the event of a merger, acquisition, restructuring, or asset sale, your information may be transferred to the acquiring entity. We will notify you prior to any such transfer and advise of any policy changes.

5.5 With Your Consent

We may share your information with third parties when you have given us explicit consent to do so.

6. AI Features and Data Processing

6.1 Meeting Transcription

OrgsLedger uses Deepgram’s real-time speech-to-text API to transcribe meeting audio when this feature is enabled. Audio is transmitted to Deepgram’s servers for processing under applicable data processing terms. We recommend reviewing Deepgram’s Privacy Policy for details on their data practices.

6.2 AI-Generated Summaries and Action Items

Transcripts and meeting content may be processed by AI models to generate meeting summaries, extract action items, and provide analytical insights. This processing occurs on OrgsLedger’s infrastructure or through contracted AI providers under data processing agreements.

6.3 AI Model Improvement

We do not use your meeting content, financial data, or organizational data to train AI models without your explicit, opt-in consent. Aggregated and de-identified usage patterns may be used to improve platform features.

6.4 Consent Responsibility

You are solely responsible for obtaining all legally required consents from meeting participants before enabling AI transcription or recording features. Recording consent laws vary by jurisdiction (e.g., one-party vs. all-party consent). OrgsLedger is not responsible for your compliance with applicable recording laws.

7. Data Storage, Security, and Retention

7.1 Security Measures

No security system is impenetrable. We cannot guarantee absolute security, and you transmit data at your own risk.

7.2 Data Retention

After the applicable retention period, data is securely deleted or anonymized.

8. International Data Transfers

OrgsLedger is a global platform, and your information may be transferred to and processed in countries other than your own. When transferring personal data from the EEA, UK, or Switzerland, we rely on Standard Contractual Clauses (SCCs), UK International Data Transfer Agreements (IDTAs), or applicable adequacy decisions to ensure appropriate protection.

10. California Privacy Rights (CCPA / CPRA)

California residents have the following rights under the CCPA as amended by the CPRA:

To submit a California privacy request, email privacy@orgsledger.com with “California Privacy Request” in the subject line. We will respond within 45 days.

11. Children’s Privacy

The Service is not directed to individuals under the age of 13. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us personal information, contact privacy@orgsledger.com and we will promptly delete it.

12. Cookies and Tracking Technologies

13. Changes to This Policy

We may update this Privacy Policy from time to time.
